Executive Personal Assistant to the CEO

About this Position

A busy CEO is looking for an Executive Personal Assistant within easy commuting distance of Happy Hill, St. George, to provide personal and administrative support in a well-organized and timely manner. As the Executive Personal Assistant, you will work closely with the CEO to provide such support, often based out of the CEO’s home office, or from the office working space in St. George’s. The successful candidate will come in with immediately usable skills in a key area (such as business, finance/accounting, marketing, sales, technology, etc.) and will learn the rest. This is also an opportunity to shadow and learn from a successful entrepreneur as she continues to grow an existing company and undertakes new entrepreneurial ventures. This role will initially have little structure but training will be provided for more complex assignments. You will assist the CEO to make the best use of their time by dealing with both personal and administrative tasks.

Responsibilities

❏ Acting as the first point of contact for the CEO
❏ Organizing and representing the CEO at events and conferences
❏ Screening and resolving phone calls, inquiries, and requests
❏ Dealing with correspondence, drafting email responses on behalf of the CEO
❏ Booking and arranging travel, transport, accommodation, and appointments
❏ Reminding the CEO of important tasks/deadlines and ensuring support materials are prepared 

❏ Typing up/compiling presentations, reports, correspondence
❏ Managing CEO’s email, database, and filing system
❏ Liaising with CEO’s contacts
❏ Organizing and maintaining calendars and setting appointments, managing diaries;
❑ Running errands on behalf of the CEO
❑ Drafting social media content based on direction from the CEO
❑ Miscellaneous tasks to support a busy CEO

Skills

❏ Ability to take initiative; problem-solve without hand-holding;
❏ Detail-oriented with strong verbal and written communication skills;
❏ Strong time management skills;
❏ Discretion, tact, diplomacy, and an understanding of confidentiality issues;
❏ Reliable with a strong work ethic;
❏ Flexible, adaptable, and willing to take on multiple time-sensitive tasks
❏ Ability to meet with the CEO in person at their Happy Hill home office as needed

 ❏ Conversant with G suite or MS tools e.g. Google Docs/MS Word

Skills and Requirements:

CEO needs someone with insane hustle, a great work ethic, and a diplomatic attitude. The successful candidate should not need a lot of care or spoon-feeding. No job in the company is above or beneath the CEO and as her right hand, the same should apply to you. The nature of the CEO’s role means the successful candidate must be prepared to work flexibly within the standard business hours of 9 am – 5 pm, Monday to Friday, and may be asked to accompany the CEO to events outside of these hours, including the occasional weekend. Overtime or time off in lieu will be granted for any additional hours worked. Off-island work is a possibility but will be discussed as the need arises.
