An established and reputable company is seeking to hire a professional, experienced, and reliable Administrative Assistant. The job description is provided below.

Job Description: Administrative Assistant

  1. Answer general phone inquiries in a professional and courteous manner;
  2. Direct phone inquiries to the appropriate staff members;
  3. Reply to general information requests with accurate information;
  4. Greet clients/visitors of the Employer in a professional and friendly manner;
  5. Use computer word processing, spreadsheet, and database software to prepare reports, memos, and documents – faxes courier, deliveries for distribution;
  6. Prepare and send outgoing faxes, mail, and courier parcels;
  7. Forward incoming general e-mails to the appropriate staff member;
  8. Forward voice mails from the general mailbox to the appropriate staff member;
  9. Purchase, receive, and store the office supplies ensuring that basic supplies are always available;
  10. Update and ensure the accuracy of the Employer’s databases;
  11. Back-up electronic files using proper procedures;
  12. Provide secretarial and administrative support to management and other staff;
  13. Coordinate the maintenance of office equipment;
  14. Interacting with government officials in particular to assist in the concession process of the company;
  15. To assist in the procurement process including the preparation of Purchase Orders;
  16. To assist with Petty Cash preparation, disbursement, recording, and reporting
  17. To assist the Accounting Department with Data Entry and Digitizing records
